How to Set Up a New E-Mail Account in MS Outlook 2007

Information You Need to Start

 
Note: In these examples we use generic user names and passwords.
 
Substitute your own name for yourname, your own password for yourpass, and your own domain name for domain.com.
 
Information you will need:
User: yourname@domain.com
Password: your pass
Mail server name: mail.domain.com
 

Open Outlook

 
On the menu bar, click on Tools and select Account Settings.
 
 

E-Mail Accounts

 
Under the E-mail tab, select New
 
 

Choose E-mail Service

 

Select Microsoft Exchange, POP3, IMAP, or HTTP option

 
 

Auto Account Setup

 
Do not fill in Your Name, address, or password info.
 
Check the box that states:  Manually configure server settings or additional server types.
 
 
 

Choose E-mail Service

 
Select Internet E-mail
 
 
 

Internet E-mail Settings

 
You have a number of items to carefully fill out on the below screen.
 
Your Name is the name that other people will see when you send them e-mail. It should usually be your real name. For example, John Smith
 
Enter your E-mail Address. The address must be the e-mail address of the POP mailbox you created in your account management control panel.
 
Account Type:  Choose POP3
 
Enter mail.yourdomain.com for both the Incoming mail server and Outgoing mail server (SMTP).

Enter your E-mail address again as the User Name. (The user name must be all lower case).

Type your E-mail password  into the Password box. This is the password you chose for this e-mail address when you created the mailbox in your  account management control panel.

You can also check Remember password so that Outlook does not ask you for the password each time you read e-mail.

Make sure that "Logon using Secure Password Authentication (SPA)" is not checked.

Do not click Test Account Settings yet; it will not work until you complete the next steps.
 
Select More Settings button.
 

Outgoing Server

 
 
Click on Outgoing Server tab. Then enable “My outgoing server requires authentication” as shown to the right.
 
Choose the Advanced tab.

While you can keep the default settings, we recommend that you change Outgoing servicer (SMTP) to 587. It defaults to 25, which is normally fine.  However, many ISP now block port 25 in an effort to curb spam.  587 works better.

At this Advanced tab you have the ability to choose to keep a copy of mail on the server.  If you check this box, make sure to check the next two boxes below it!  If you don't you run the risk of using all your allotted email server space and messages to you will begin to bounce.
 
Select OK.  It will take you back to the Internet E-mail Settings screen

Click on the Test Account button.

A window will appear that shows the tests being performed. If all tests are successful, you will get a message at the top of the window that says “Congratulations! All tests were completed successfully.” You will also get an email in the inbox of the account that was just set up. 

If you get an error message, review all information entered on the Internet Email Settings page and click on Test Account button again.

Click on Close button.

You will return to the Internet E-mail Settings screen.

Click on Next.

Make sure you select Finish.  If you don't your information will not be saved.
